Welcome to Project Caucasus! These Terms and Conditions outline the rules and regulations for using our services. By booking with us, you agree to comply with and be bound by these Terms and Conditions. Please read them carefully before making a booking.

1. Booking & Payment
Once you’ve decided on the course or activity you wish to book, please contact Project Caucasus via contact email/phone to confirm the details. We will discuss the booking and payment options to finalize your reservation.
Payments can be made via Stripe/other payment methods or in person. Please note that Project Caucasus does not accept cheques.
A contract between you and Project Caucasus will be established once:
• All details have been agreed upon
• You have read and accepted these Terms & Conditions
• A deposit of 20% of the total price has been paid
The remaining balance is due 60 days/weeks prior to the start of the course. Guests may choose to pay the remaining balance either in person or via bank/Stripe transfer. If the balance or full payment is not received by this deadline, Project Caucasus reserves the right to cancel your booking and apply cancellation charges as outlined below.

2. Alteration or Cancellation Policy
Cancellations must be submitted in writing or via email to Project Caucasus and will be effective upon receipt. Cancellation charges:
• Cancellations made 60+ days before the start date: fully refundable deposit
• Cancellations made 59 or fewer days before the start date: deposit non-refundable
No amendments can be made within 60 days of the booking start date unless otherwise agreed.
Project Caucasus reserves the right to cancel any course due to insufficient participants. If your booked course is canceled, you will receive 30 days’ notice and the opportunity to reschedule at no extra charge. Full refunds will be issued if alternative dates are unsuitable.
If you terminate a course or activity during its progression, no refunds will be provided.

3. Courses & Activities
Project Caucasus and its instructors reserve the right to modify locations, routes, or activities if following the planned itinerary poses undue risk due to:
• Adverse weather conditions
• Participant ability
• Other unforeseen circumstances
Private guiding will proceed regardless of weather, with instructors adjusting the program as necessary. No refund will be provided if the venue or activity is changed due to skill or safety considerations.

4. Risk Acknowledgment
All participants acknowledge that Project Caucasus activities involve inherent risks, including:
• Personal injury or accidents
• Exposure to severe weather
• Equipment failure
• Natural hazards (avalanches, rockfalls, etc.)
Participants are responsible for following safety instructions. Project Caucasus reserves the right to exclude anyone deemed unprepared or unfit; no refunds will be provided in such cases.

5. Insurance
Participants must have appropriate insurance covering:
• Accidents, illness, emergency evacuation (including helicopter rescue)
• Trip cancellations or delays
• Loss or damage of equipment
• Personal liability
Project Caucasus does not provide personal insurance and is not responsible for costs arising from inadequate coverage.

6. Participant Health & Preparedness
Participants must be in good health and prepared for activities. Medical conditions, dietary restrictions, or other concerns must be communicated in advance. Appropriate equipment and clothing are the responsibility of participants.

7. Complaints
Complaints should be addressed immediately to Project Caucasus staff or instructors to allow prompt resolution.

8. Governing Law
Any contract made with Project Caucasus PLC shall be governed by Georgian Law / applicable jurisdiction.
